Let’s be real here, conference rooms can lack appeal. Imagine worn-out chairs, coffee-stained tables, and beige walls… There is good news though, with countless inventions and addons available now, conference rooms do not have to continue to be this way… or have this perception.

After two decades in the office fit-out game, we’ve seen conference rooms transform from dreary afterthoughts into spaces that genuinely spark creativity and collaboration. The secret? It’s not about throwing money at fancy gadgets – it’s about understanding what makes people tick.

Size Matters (not how you expect)

Here’s something that might surprise you: bigger isn’t always better. We once worked with a tech startup that insisted on a massive boardroom. Six months later, they sheepishly admitted their best meetings happened in the kitchen. The takeaway? Match your room size to your typical meeting size, with a bit of wiggle room.

For intimate discussions, aim for 6-8 people maximum. Need to accommodate larger groups? Consider breakout areas within the same space. Think of it as creating zones rather than one monolithic meeting marathon.

Lighting: The Often-Overlooked Champion

Ineffective lighting hurts meetings—literally and figuratively—as dim lighting causes half of your team to doze off while harsh fluorescent makes everyone look like they are part of a mind-numbing, lifeless group.

Natural lighting works best, but when it’s not available, layered lighting can serve as an alternative. It is best to divide tasks into three different types to add definition: setting the mood (ambient), accent(presentations), and warm light (adding warmth). Nothing kills a meeting like tech misbehaving, not to mention lack of equipment, has led to a conference room being filled with crammed gadgets. Flashiness does not equal reliability, and it is better to prioritise simplicity over gimmicks.

When attended to thoughtfully, the simplest of things can make the biggest difference. For instance, a high-quality display with the ability to load laptops seamlessly will work wonders and so will video conferencing equipment that ensure remote participants don’t sound like they are located at the bottom of a well. Prioritising minimalism and simplifying cable locations can improve the accessibility of power outlets leading to a ‘future-proof’ serene environment. Most importantly, you will thank yourself down the road for taking these simple steps.

Furniture: Beyond the Basic Table

The traditional and classic rectangular table has its place – which is quite overly done! but it’s not the only option. Round tables encourage equality – no obvious ‘head of table’ power plays. Modular furniture lets you reconfigure spaces on the hop. Standing-height options keep energy levels enhanced during brainstorming sessions.

Chairs bear special importance. Stylistic choices should not make a spine suffer. Budget friendly ergonomic options that support long meetings exist. We have witnessed a surge in productivity simply by replacing uncomfortable seating with appropriate task chairs.

Active Colour Psychology

Strategic use could greatly improve productivity. Blue promotes clear, strategic thinking and is ideal for focus intensive tasks like planning sessions. Green helps balance muscle tension and reduces eyestrain, however, be careful not to use too much as bold colours can be counterproductive and overly stimulating.

Neutral bases enhanced with accent colours – add exciting detail. Picture warm whites paired with natural wood tones or charcoal walls featuring pops of brand colours.

The Devil’s in the Details

Attention to detail is critical…. The whiteboards that erase correctly. Plants that reduce air pollutants while bringing life into sterile environments. Acoustic panels that mitigate echo and background noise. Clean coats hook that eliminate the awkward dance of jacket shuffling.

Storage influences the overall atmosphere. Built-in cupboards eliminate clutter while open shelves can showcase awards and company milestones – subtle brand reinforcement that builds credibility with clients.
